MaintainSTR LLC ("MaintainSTR", "we", "our", or "us") is a Georgia limited liability company that operates a B2B SaaS platform for short-term rental property maintenance management, available through our web application and mobile apps (collectively, the "Service"). This policy explains what information we collect, how we use it, and the choices you have. It applies to property managers, maintenance contractors, technicians, and other users of the Service.
Our mobile app requests the following permissions. Each is used only for the stated purpose, and you can deny any of them and still use the app's other features.
When you use the MaintainSTR mobile app to take or attach a photo or video for a work order or issue, we may collect the precise location of the device at that time. This location is stored as data associated with the photo or video (not visibly displayed on the image itself) and is used to document where work was performed. It may be visible to other users on the same work order, such as the property manager or contractor you are working with.
We only access your device's location while you are actively using the app to capture or attach media — we do not track your location in the background or when the app is closed.
The mobile app includes an in-app tool that lets you report bugs or problems directly to us. If you choose to report a bug, this tool may capture a screenshot or screen recording of your current screen and basic device and app information (such as device model, operating system version, and app version) to help us diagnose the issue. You can review what is captured before it is sent. This tool also shares your user ID and the email address on your account with the reporting service, so we can identify who submitted the report.
Payments are processed by Stripe (including Stripe Connect for marketplace payouts to contractors). MaintainSTR does not collect or store full card numbers, bank account numbers, or other payment credentials. We receive limited transaction metadata from Stripe (such as amount, status, and a reference ID) for invoicing and reconciliation.

We use the following processors to operate the Service. They are bound by contracts that limit their use of your information to the purposes for which we engage them.
We don't send names, contact details or addresses from your account or properties to these AI providers; the text of issues, notes and messages is sent as written.
We use Sentry to help us detect, diagnose, and fix crashes and performance problems in the app. When a crash or performance issue occurs, we send Sentry a report that includes your user ID and the email address on your account, along with technical details such as device and operating system information, the app version, network request URLs involved, and the error itself. We do not send your IP address as part of these reports. This information is used only to identify, investigate, and resolve technical problems, and is not used for advertising or shared for any purpose unrelated to app support.
We do not sell your personal information, and we do not share it with third parties for their own advertising or marketing purposes.
MaintainSTR is a collaboration platform. Information you submit (such as work orders, photos, comments, and contact details) is visible to other users in your organization and to the contractors or property managers you choose to work with on a given job. Use the Service's sharing controls to manage who has access.
We may disclose information when we believe in good faith that disclosure is required by law, legal process, or government request, or is necessary to protect the rights, property, or safety of MaintainSTR, our users, or the public. If we are involved in a merger, acquisition, or asset sale, your information may be transferred as part of that transaction, subject to this policy.
We retain account information for as long as your account is active. Work order records, invoices, and payment metadata are retained for up to seven (7) years to meet tax, accounting, and audit obligations, even after account deletion. Photos and other media are retained for the life of the associated work order plus a reasonable archival period, unless you request earlier deletion. Backups are retained on a rolling basis and are purged on our standard backup cycle. Comms messages are retained as a record for all participants in the conversation and are generally not deleted on individual request, consistent with our Terms.
We use industry-standard safeguards including TLS in transit, encryption at rest for stored media and databases, role-based access controls, and audit logging. No system is perfectly secure; if we learn of a breach affecting your information, we will notify you and the appropriate authorities as required by applicable law.

If you are a California resident, you have the right to know what personal information we collect, use, and disclose; the right to request deletion; the right to correct inaccurate information; and the right to non-discrimination for exercising your rights. We do not sell or share your personal information as those terms are defined under the CCPA, and we have not done so in the past twelve months. MaintainSTR is operated from the United States, and our service providers may process information in the United States or other countries. Where required, we rely on appropriate transfer mechanisms (such as the European Commission's Standard Contractual Clauses) for transfers out of the EEA, UK, or Switzerland.
The Service is intended for business use by adults. We do not knowingly collect personal information from children under 13 (or under 16 in jurisdictions where that higher age applies). If you believe a child has provided us with personal information, contact us at support@maintainstr.com and we will delete it.
We may update this policy from time to time. When we make material changes, we will update the effective date at the top of the page and, where appropriate, notify you through the Service or by email.
